A facelift for a legacy system: tech upgrade, deep UX and gamification on a PHP foundation

EZ Way, a leading provider of psychometric and matriculation exam prep, entrusted us with its most important digital asset: the veteran LMS that serves tens of thousands of students. The mission was not to rebuild, but to take an existing, complex PHP system, upgrade its technology, and revolutionize the user experience (Deep UX) and student engagement through advanced gamification layers.

The Challenge

We inherited a veteran PHP system – stable but outdated – holding vast amounts of data and user history. The challenge was twofold: preserve the core of the system and the business logic that works, while breaking away from the dated, "gray" look, solving critical flow issues, and introducing new technologies and complex AI and gamification features – all without disrupting the ongoing studies of thousands of active users.

The Solution

We carried out a "surgical" modernization. We dove into the existing PHP code, refactored the critical areas and connected modern front-end layers. In parallel, we led a deep UX process – user research and a redefinition of the customer journeys – to turn tedious studying into an addictive experience. The solution included brand-new modules that integrate seamlessly with the existing database.

UX research and visual transformation

The old system suffered from cognitive overload and an outdated interface. Our UX process broke the complexity down into its parts. We created a new, clean and youthful visual language tailored to Gen Z. We turned crowded tables into interactive cards, built clear dashboards for tracking progress, and redesigned the entire student "lobby" to create intuitive, flowing navigation – much like the apps students know from everyday life.

Gamification: the "Head to Head" module

As part of the gamification strategy, we developed several modules designed to boost engagement. A standout example is "Head to Head" – a real-time battle arena where students compete against each other in solving questions. The module required complex logic on top of the existing PHP, turn management and real-time synchronization – and it is just one part of a full gamification suite that includes leaderboards, points and daily challenges.

Tech upgrade and AI in a veteran system

Proof that you can teach an old system new tricks. We embedded a smart AI module into the existing admin interface, enabling instructors to generate and review thousands of questions automatically. The new system knows how to "talk" to the historical database, validate content and save hundreds of hours of manual work – proving that legacy systems can stand at the forefront of technology when treated right.
